Privacy Notice
How we handle your information.
What this site collects, where it goes, how long we keep it, and what you can ask of us. Written to be read, not skimmed past.
1. Who we are
JMR Law Group PLLC is a Washington professional limited liability company practising US trademark law from Seattle, WA / USA. For this notice, we are the "controller" of the personal information described below. Reach us at tm@jmrlawgroup.com.
2. What this notice covers
This notice covers jmrlawgroup.com, including the online filing tools at jmrlawgroup.com/renew/ and the payment page at jmrlawgroup.com/pay/. The attorney–client relationship itself is governed by our Engagement Agreement; this notice explains information handling only.
3. What we collect, why, and on what basis
When you check a registration or serial number. The number you enter is sent from our server to the USPTO's Trademark Status & Document Retrieval (TSDR) service, and the public record is shown to you. The number and that public record may be held in our hosting provider's cache for up to one hour so repeat lookups are fast. Lookups are not linked to you. Basis: our legitimate interest in showing you the status of a registration you asked about.
When you contact us. Your name, email address, matter type, and the registration or serial numbers and note you send, together with the USPTO's public record for each number, are emailed to us. The website itself keeps no copy. Basis: steps taken at your request before an engagement, and our legitimate interest in answering you.
When you prepare a filing. To prepare a Section 8, 9, 15 or 71 filing we collect the signatory's name, title, email address and, optionally, telephone number; your elections (which goods and services remain in use, any excusable non-use statement, specimens of use, the mark as used today, and any owner or address change); a snapshot of the USPTO record you reviewed; your signature; the confirmations you checked; and any reference you choose to add. The record is emailed to us and referenced by its record ID in our payment processor; the website keeps no copy. Basis: performance of the Engagement Agreement you sign, and the legal requirements of a USPTO filing. The information you give us for a filing becomes part of that filing, and the USPTO publishes its filings in its public records.
When you pay. Payments are taken on pages operated by Stripe. Stripe collects your card or bank details, billing address and email directly; we never receive card numbers. We receive confirmation of payment, the card brand and last four digits or the bank name, the amount, and Stripe's reference numbers. Stripe processes payment information as an independent controller under its own privacy policy. Basis: performance of the Engagement Agreement, and our legal obligation to keep accounting records.
Emails we send you. Payment confirmations, receipts and messages about your filing are sent from tm@jmrlawgroup.com through our email delivery provider. We do not send marketing email. Basis: performance of the Engagement Agreement and our legitimate interest in keeping you informed.
Technical information. To deliver pages, our hosting provider processes your IP address and browser details and keeps short-lived operational logs. Our own logs record that a private link or fee code was used, by its label, not by you. We use no analytics, advertising or tracking services, and the site sets no cookies. The filing tool keeps your in-progress answers in your browser's session storage so you can return from the payment page; that storage never leaves your browser and clears when the tab closes. Mark images on status pages are loaded by your browser directly from the USPTO's servers, which therefore see your IP address as any website you visit would.
Private links and codes. We may send you a signed link that pre-fills your matter or applies a fee arrangement agreed with your firm. The link carries a matter reference, is signed so it cannot be altered, and expires. Its use is recorded in the filing record we receive.
4. Where your information goes
Only to the providers that run this practice, and to the USPTO. Nobody else.
- Our mailbox (Microsoft 365) — where the filing record, your contact message and payment confirmations are received and kept.
- Netlify — hosts the site and runs the functions that pull USPTO records, prepare your record and start a payment. Nothing is stored there beyond the one-hour cache of public USPTO records and short-lived logs.
- Stripe — takes payment, as described above.
- Resend — delivers the emails we send you, and carries the filing record to our mailbox, under a data-processing agreement. It transmits and logs; no one there reads your message.
- The USPTO — receives the filing we make for you, which the USPTO then publishes. The USPTO is a public authority, not our service provider.
We do not sell personal information, share it for advertising, or use it to build marketing lists. Nothing you enter on this site is sent to an artificial-intelligence service, and we do not use your information to train one. Each provider above holds independent security attestations; they are listed on our Security and data handling page.
5. International transfers
We are in the United States, and your information is processed and stored in the United States. If you are in the European Economic Area, the United Kingdom or Switzerland, the transfer of your information to us is necessary to perform the engagement you have asked for (GDPR Article 49(1)(b) and (c) and the UK equivalent). Our providers offer standard contractual clauses or participate in the EU–US Data Privacy Framework for their own processing. Where your organisation requires it, we will enter into the European Commission's standard contractual clauses with you; ask us at tm@jmrlawgroup.com.
6. How long we keep it
The website keeps nothing. In our mailbox and matter files, we keep the record of each filing, and the correspondence around it, for the life of the engagement and seven years after our last filing for you, then delete it, unless law or the rules of professional conduct require longer. Payment records are kept for seven years as accounting records; Stripe keeps its own records under its policy. A contact inquiry or lookup that does not become an engagement is deleted within 12 months.
7. Your rights
You may ask us to tell you what personal information we hold about you, to correct it, to delete it, to restrict or object to how we use it, or to give it to you in a portable form. Email tm@jmrlawgroup.com; we will confirm your identity and answer within one month. Our duties as lawyers, and the USPTO's own records, may mean some information cannot be deleted while a matter is open or a retention period runs; we will tell you if so. If you are in the EEA, the UK or Switzerland you may also complain to your data protection authority.
8. Security
The measures we take are set out on our Security and data handling page. If a security incident affects your information, we will tell you and, where the law requires it, the relevant authority, without undue delay.
9. Children
This site and our services are for businesses and adults. We do not knowingly collect information from anyone under 18.
10. Changes
When this notice changes, the version and effective date above change with it. Past versions are available on request.
